The Opportunity

Fillmore Linen Service is seeking a highly organized, discreet, and proactive Office Manager / HR Assistant to support executive leadership while ensuring the smooth day-to-day operation of our administrative and human resources functions. This role is ideal for a professional who thrives in a fast-paced, operations-driven environment and understands the importance of compliance, confidentiality, and employee engagement in a healthcare services setting.

The position serves as a central hub for office operations, executive support, and HR administration—helping leadership stay focused on strategy while ensuring employees are supported, informed, and compliant.

Key Responsibilities

Executive & Administrative Support

  • Provide detailed, confidential administrative support to CEO including calendar management, email management, and meeting coordination.

  • Prepare meeting agendas and internal communications, assist as requested with presentations and reports,

  • Track deadlines, follow up on action items, and support special projects

Office Management

  • Oversee daily office operations to ensure an efficient, professional, and well-organized workplace

  • Manage office supplies, schedule FLS conference room, coordinate meeting support and facility-related needs, oversee maintenance of admin office

  • Coordinate incoming calls, visitors, deliveries, and mail

  • Support internal events, trainings, and company meetings

Human Resources Administration

  • Assist with employee onboarding and offboarding, including paperwork, orientation, and system access

  • Support HR administration by coordinating documentation and employee inquiries

  • Field calls to/from ADP and document HRIS and payroll resolutions

Qualifications

  • Bilingual English/Spanish required

  • High level of discretion, professionalism, honesty, and competence when handling sensitive information

  • Excellent organizational, communication, and time-management skills

  • Proficiency in Microsoft Office and HRIS/payroll systems 

  • Associate’s or Bachelor’s degree in Business Administration, Human Resources, or a related field preferred

  • 3–5+ years of experience in office management, executive support, and/or HR administration
